1. Who We Are

Alja Berk Coaching is a sole proprietorship based in Slovenia, offering business strategy coaching, workshops and a paid online community to coaches, facilitators, therapists and other conscious solopreneurs, both in Slovenia and internationally.

2. What Personal Data We Collect

We only collect data that is relevant to running this business and communicating with you. Depending on how you interact with us, this may include:

• Contact details: name, email address, phone number.
• Booking and scheduling data: information you provide when booking a discovery call, workshop spot or community place, including your chosen time slot and any notes you add.
• Newsletter and lead magnet data: your email address, and first name if provided, when you download a free report or subscribe to updates.
• Client and coaching data: information shared during discovery calls and coaching sessions, working documents, notes and goals, only for clients who engage in paid coaching.
• Invoicing data: for 1:1 coaching, before we agree to work together, we collect the identification details of the individual or business (name, address and company details, where relevant) needed to issue an invoice. For workshops, at registration we only collect first name, last name and email address. In both cases, we share our own bank details with you and you transfer payment directly to our account. We do not collect or store any card payment data, since we do not currently use a payment processor. If we introduce a processor such as Stripe in the future, this policy will be updated accordingly.
• Technical data: IP address, browser type, device type, pages visited and time spent, collected automatically through cookies and analytics tools when you browse this site.
• Communications: emails, WhatsApp messages (for community members) and any other messages you send us directly.

We do not knowingly collect any special category data (such as health or religious information) unless you choose to share it with us voluntarily as part of coaching conversations, in which case it is treated with the same confidentiality as all other client information and is never shared with third parties.

3. How We Collect Your Data

• Directly from you, when you fill in a form, book a call, register for a workshop or the community, reply to an email, or message us on WhatsApp or social media.
• Automatically, through cookies and similar technologies when you visit our website (see section 6).
• From third-party booking, scheduling and video tools you use to interact with us, such as TidyCal, Google Forms and Google Meet.

4. Why We Process Your Data, and Our Legal Basis

Under the GDPR, we may only process personal data where we have a valid legal basis. Here is how that applies to what we do:

You can withdraw consent at any time, for example by unsubscribing from a newsletter or adjusting your cookie preferences. This does not affect the lawfulness of processing carried out before withdrawal.

5. Cookies and Similar Technologies

This website uses cookies to make it work properly, understand how visitors use it, and, where you consent, to run advertising. You can manage or withdraw your consent at any time through your browser settings or, where available, our cookie banner.

Most browsers let you refuse or delete cookies. If you do, some parts of the site, such as embedded booking forms, may not work as intended.

6. Third-Party Services We Use

We work with a small number of trusted providers to run this business. Each acts as a data processor on our behalf, or as an independent controller for their own platform, under their own privacy policy:

• TidyCal, for discovery call scheduling.
• Google Workspace (Gmail, Google Meet, Google Drive, Google Forms), for email, video sessions, shared client working folders, and workshop or community registration.
• GoBrunch, for live online community sessions.
• MailerLite, for our newsletter and free report delivery.
• WhatsApp (Meta), for the moderated community chat.
• Google Analytics and Google Ads, for website analytics and advertising.
• Meta (Instagram, Facebook) and LinkedIn, for social media presence and, where applicable, advertising.
• Neoserv, our web hosting provider, for storing website files.

We do not sell your personal data to anyone, for any purpose.

7. International Data Transfers

Some of the providers listed above, including Google and Meta, are based in the United States or process data outside the European Economic Area (EEA). Where this happens, we rely on the safeguards those providers have in place, such as the EU-U.S. Data Privacy Framework or Standard Contractual Clauses, to ensure your data receives a level of protection equivalent to that guaranteed within the EEA.

8. How Long We Keep Your Data

• Enquiries and discovery call bookings that don't turn into a client relationship: up to 12 months, then deleted.
• Client and coaching records: for the duration of our working relationship, plus 5 years afterwards, in line with our professional and accounting obligations.
• Invoices and accounting records: 10 years, as required under Slovenian tax law.
• Newsletter subscribers: until you unsubscribe or the address becomes inactive.
• Website analytics data: as set by Google Analytics' default retention settings, currently up to 14 months.

9. Your Rights

Under the GDPR, you have the right to:

• Access the personal data we hold about you.
• Rectify inaccurate or incomplete data.
• Erase your data, where there is no legal reason for us to keep it.
• Restrict how we use your data in certain circumstances.
• Port your data to another provider, in a structured, commonly used format.
• Object to processing based on legitimate interest, including direct marketing.
• Withdraw consent at any time, where processing is based on consent.
• Lodge a complaint with the Slovenian data protection authority (see section 12).

To exercise any of these rights, email info@aljaberkcoaching.com. We will respond within one month, as required by law.

10. Children's Privacy

Our services are intended for adults running or building a business. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, please contact us so we can delete it.

11. Data Security

We take reasonable technical and organisational measures to protect your data, including using reputable, GDPR-compliant service providers, limiting access to client information to Alja alone, and using secure, password-protected tools for storage and communication. No method of transmission over the internet is completely secure, but we work to protect your data to a standard appropriate to its sensitivity.

12. Complaints

If you have concerns about how we handle your personal data, we would appreciate the chance to resolve it directly first, at info@aljaberkcoaching.com. You also have the right to lodge a complaint with the Slovenian supervisory authority:

13. Changes to This Policy

We may update this policy from time to time, for example as our tools or services change. The date at the top of this page shows when it was last revised. If changes are significant, we will let registered clients and newsletter subscribers know by email.
